ONE follows the work from first request to final close-out.

A task does not finish when a document is generated — and it is not fully closed just because a worker says the work is done. ONE is designed to keep permits, inductions, readiness, hazards, checks, Work Clearance, post-task evidence and close-out tied to the same work record.

The ONE Task Lifecycle is the connected path from the first work request through preparation, workplace entry, Work Clearance, work activity, reporting, completion and final close-out.

WHY IT MATTERS

When permits, inductions, hazard reports, post-task checks and close-out live in different systems, the organisation can lose the thread of what actually happened.

Describe the work.

An authorised person starts with the task in plain language. ONE uses known workplace and organisation information before asking for more.

Identify the activities.

ONE resolves the practical work stages, people, plant, materials, location and conditions that can change what applies.

03PREPARE

Connect what the task needs.

ONE prepares the appropriate work-document pathway and connects applicable checks, permit screening, induction requirements, competency, plant and evidence.

Check workplace readiness.

Open the assigned task or workplace link, scan the workplace QR code, or confirm the workplace in ONE. ONE can then show any missing or expired induction and the actions required before work.

05WORKER VIEW

Show the worker what matters.

The worker reviews the released task view: what to do, key hazards, required controls, stop-work conditions, permits, evidence and the practical information needed for this work.

06READY TO BEGIN

The worker chooses to begin the start sequence.

At the end of the worker view, a clear I'm ready to begin action records the worker and time, then launches the required pre-start rather than implying the work has already started.

07PRE-START

Check today's conditions.

ONE presents the relevant worker-observable checks and changed-condition questions. A failed response can block, pause or escalate the work and notify the appropriate supervisor or authorised person.

08WORK CLEARANCE

Start or stop is made clear.

ONE brings the completed pre-start together with inductions, permits, competencies and other prerequisites. AI assists; the authorised person remains responsible for the consequential Work Clearance decision.

09START WORK

Record the real commencement.

Only after the required readiness pathway is satisfied does the worker see Start work. Pressing it records the actual task start time and opens the active-work view.

10DO THE WORK

Report what changes.

Workers can report a hazard, changed condition, near miss, control problem or Stop Work issue from the active task so it stays connected to the work.

11WORK COMPLETE

The worker signals completion.

A simple Work complete action records the person and time, then opens the relevant post-task questions instead of silently closing the task.

12POST-TASK

Close permits and outstanding items.

Post-task worker checks, supervisor verification, defects, hazards, handover items, evidence and permit close-out are resolved by the appropriate roles.

13TASK CLOSED

Close only when the loop is complete.

The final record preserves what applied, what happened, who acted, when work started and finished, and how required close-out matters were resolved.

THE WORKER START SEQUENCE

Read the task. Start the checks. Then start the work.

ONE should distinguish between a worker saying “I am ready to begin the start process” and the moment the work actually commences. That keeps the field experience simple without allowing the pre-start or Work Clearance step to be bypassed.

See the released task information.

Short, practical screens show the work, hazards, controls, stop-work conditions, permits and evidence prompts relevant to that worker.

02I'M READY TO BEGIN

Worker initiates the start sequence.

The action sits at the end of the worker view. ONE records the worker and time, creates the pre-start action and can issue an in-app/push reminder so the required check is not missed.

03PRE-START CHECK

Confirm the work as it exists now.

The worker completes only the relevant point-of-work questions. Any failed, changed or unknown condition is connected back to the task and the appropriate supervisor or authorised person.

04WORK CLEARANCE

Confirm whether work can proceed.

ONE evaluates the current prerequisite picture and presents the authorised decision pathway. A completed pre-start alone does not create permission to work.

05START WORK

Record actual commencement.

Once the required clearance state is satisfied, the worker receives the Start work action. The timestamp now means what it says: the work has actually begun.

WHY TWO START ACTIONS?Intent to begin is not the same as authorisation to work.

I'm ready to begin starts the worker's readiness sequence. Start work records the actual commencement only after the applicable pre-start and Work Clearance pathway is satisfied.

WORKPLACE ARRIVAL

Open the workplace. See what needs to be ready.

A workplace link, QR code or assignment brings the person into the right work context. ONE can then show the relevant induction and task prerequisites. Confirming the location does not complete those requirements.

OPEN THE WORKPLACE

“This is my workplace.”

The person opens their workplace or task in ONE and confirms the location. ONE can show current alerts, induction status and the prerequisites relevant to that work.

IF NOT INDUCTED

Complete what applies before work.

If a required induction is incomplete, expired or needs an update, ONE can direct the person into the relevant induction before they can be treated as ready for the task.

QR · LINK · ASSIGNMENT

Use the entry path that fits the work.

Use a workplace QR code, pre-arrival link, roster or supervisor assignment. The person can also select and confirm the workplace without relying on device location.

Opening a workplace or confirming a location is not proof of attendance, induction completion or permit sign-on. Initial ONE access does not depend on continuous background tracking or locked-phone entry/exit detection.

PERMIT LIFECYCLE

The permit starts with the task — and it has to be closed out too.

ONE can use the task activities and context to identify when a permit pathway may apply and pre-populate the relevant process. The system does not self-issue a permit: physical verification, issue, sign-on, suspension, extension and close-out remain controlled actions for authorised people.

01TRIGGER

The activity raises the question.

Hot work, confined space, isolation, excavation, lifting or another verified trigger can bring the relevant permit pathway into view.

02PREPARE

Reuse task facts.

ONE carries the known task, people, plant, location and control information into the permit workflow so the same facts are not retyped unnecessarily.

03ISSUE + SIGN-ON

Authorised people control the permit.

Required verification, issue, worker sign-on and active conditions stay separate and auditable.

04MONITOR

Conditions can change.

Expiry, suspension, changed conditions or a new hazard can change the task’s readiness and may require work to stop, pause or be reviewed.

05CLOSE-OUT

Finish the permit properly.

When the permitted activity is complete, ONE brings the close-out action to the authorised role and records the final closed permit evidence.

HAZARD REPORTING

A hazard found during the job should become part of that job’s record immediately.

The worker should not need to leave the task, find another form and hope somebody sees it. ONE can keep the report, notification, response and closure connected to the active task.

Report Hazard, Ask a Question or Stop Work is available from the active work context, with supporting evidence where relevant.

02CONNECT

ONE records the context.

The task, person, time, workplace and affected work context remain attached to the report rather than becoming a floating email.

03NOTIFY

The responsible people are alerted.

The relevant supervisor, manager or authorised person can be notified with a clear action, while urgent alerts are reserved for matters affecting immediate safety or work authorisation.

04ACT + CLOSE

Resolve the issue visibly.

The response, controls, review, restriction or stop-work outcome and evidence stay connected until the matter is resolved or incorporated into a revised task pathway.

A REPORT CREATES AN ACTION STATENotification is only the start of the response.

The issue remains connected until the responsible person acknowledges it, the required action and evidence are recorded, readiness is re-evaluated where affected, and the worker is told whether to continue, remain paused or resume.

This distinction keeps the field experience simple without letting important close-out steps disappear.

ONE checks whether defects, hazards, actions, post-task inspection, handover or permit close-out remain outstanding.

AUTHORISED CLOSE-OUT

Task closed.

The task reaches Closed only after the required close-out actions are completed and the appropriate verification has been recorded.

THE CLOSED LOOPONE should know the difference between “the worker finished” and “the task is closed.”

That gives management a clear end point while preserving hazards, defects, permit closure, handover and post-task evidence.

What is the difference between “I’m ready to begin” and “Start Work”?

“I’m ready to begin” records that the worker has reviewed the task view and starts the pre-start/readiness process. “Start Work” records actual commencement only after the applicable readiness and Work Clearance pathway is satisfied.

What does Work Complete mean?

It records that the physical work is finished. It should normally move the task into Close-out Pending rather than silently closing permits, actions or post-task requirements.

When is the task actually closed?

Only after the required post-task checks, permit close-out, outstanding actions and authorised verification for that task have been completed.
